In modern enterprises, document management has been a critical factor in overall organization competitiveness. Process Development Division in Development Center for Biotechnology currently has two major projects: the development of process for protein and nucleic acid based biopharmaceuticals, and the construction of a cGMP biopharmaceutical pilot plant for the production of clinical-use materials. Thus an extensive document management system in compliance with drug manufacture regulation is required.
Lotus Domino/Notes is a distributed document database system which integrates communication and collaboration, and is the most popular integrated groupware kit. Lotus Domino.Doc extends Domino''s groupware capability, with document management functions of collaborative authoring, review and approval processing, security control, and change control to fulfill regulation requirement. Since Domino/Notes has been implemented in Development center for Biotechnology for more than 4 years, Domino.Doc is selected to reduce the cost and time frame of system deployment.
In this study, the user requirements for document management of GMP pilot plant construction as well as process development research were first specified. The organization of Domino.Doc file hierarchy was then determined. The pilot databases - Engineering Specification File Cabinet was employed to demonstrate the design of Domino.Doc binder type and document type subforms and the customerization of document view. Reference documents, equipment specifications and vendor''s proposals were added to the file cabinet, each with security control and workflow options specified.
The implementation of Domino.Doc document management system not only saves precious resources such as manpower and time, but also facilitate more efficient information access and team collaboration.
